Privacy Policy
Introduction
Pint of Science Australia (Pint AU) is committed to protecting the privacy and confidentiality of all personal data. Any Pint AU member authorised to collect or handle personal information about volunteers, speakers, or event attendees must comply with this policy. Anyone in breach of this policy may be asked to leave Pint AU activities and/or be reported to authorities.
What is Personal Information and why do we collect it?
Personal Information is information that identifies an individual. Examples of Personal Information that we may collect include names, email addresses, phone numbers, residential locations, gender, occupations, and age.
Pint AU collects and processes personal data only as needed to carry out its functions and activities. The information collected varies by purpose and may include details required to onboard volunteers, promote speakers, deliver merchandise, analyse audience demographics, and share event information with marketing teams and supporters. Personal Information may be used for secondary purposes closely related to the primary purpose, in circumstances where it would be reasonably expected for such use or disclosure.
Pint AU collects and processes personal data in a non-intrusive, lawful and fair way through a variety of means, including (but not limited to) registering as a volunteer or speaker, attending an event, subscribing to our mailing list, accessing our social media platforms, responding to a survey or buying merchandise online.
Pint AU will take reasonable steps to protect the personal information which we hold from misuse or loss and from unauthorised access, modification or disclosure. All Personal Information is electronically stored, and access to storage is password protected. Only authorised Pint AU members can access personal information and data. Authorised members are those appointed by an appropriate member of the Leadership Team to fulfil a specific function, for example, the distribution of merchandise. Team members can only access what they need to perform their duties.
We will take reasonable steps to destroy or de-identify personal information once we no longer require it for the purposes set out in this Privacy Policy.
Pint AU will only use or disclose personal data in situations including but not limited to:
• For the purpose for which it was collected
• For a functionally related purpose of analysis
• With your permission (consent) to the disclosure
• If we are required or permitted to do so by law, such as in an emergency
Disclosure to Third Parties
Pint AU will only provide personal information to third parties where permitted by Privacy Laws, other applicable laws and this Privacy Policy. Disclosure of personal information to third parties may occur where the third party:
• Is a service provider or contractor engaged to assist with delivering our products and/or facilitating our events
• Is an affiliated organisation for a co-branded event
Your personal information will not be used for any other purpose, added to other mailing lists or disclosed to any person or organisation without your consent unless such disclosure is permitted pursuant to the Privacy Act 1988.
We do not disclose any personal information overseas unless legally required to do so or unless you have expressly consented. If this situation changes, we will update this Privacy Policy and ensure appropriate safeguards are in place.
Quality of Personal Information
It is important that your Personal Information is up to date. We will take reasonable steps to make sure that your Personal Information is accurate, complete, and current. If you find that the information we have is not correct, please advise us as soon as practicable so we can update our records.
